We know all the Federal and
California
payroll forms, laws, etc. and could process your payroll for you.
However, getting employees paid is important so we recommend using a
payroll service. You need an organization that will be there when you
need them. We do go on vacation and are not always available.
There are a number of options for payroll; Intuit
Payroll which
integrates with QuickBooks desk top and QuickBooks OnLine, Gusto Payroll
which integrates with Xero, QuickBooks desk top and QuickBooks OnLine,
and ADP which can be integrated with almost all accounting software.
There are many other payroll companies that may suit your needs.
Some banks offer payroll services for their customers that can be
economical or even free if you meet certain conditions. Bank of America
offers Intuit's payroll for free if all employees use direct deposit to
a Bank of America account.
All the payroll companies offer various levels of service. The
service levels range from just calculating the checks and taxes to doing
everything which includes filing payroll tax returns, W2s and paying the
taxes due. Generally, if the payroll company is paying taxes for you,
they take the money on payday even if it is not yet due. There are
penalties for late payment of payroll taxes and the due dates are not
straight forward.
Intuit says they are the number one payroll company but so does
ADP. If you are using one of Intuit's payroll packages and a QuickBooks
desktop version, they will require you to upgrade to the latest version
every three years. Because Intuit does much more than payroll, customer
satisfaction may not be their highest priority.
Gusto (formerly Zen Payroll)is a relatively new company that has brought new ideas
to an old process. They may be a good fit if you are an early adopter
and want to be using the latest technology.
ADP says they are the number one payroll company but so does
Intuit. ADP processes payroll for the IRS which says something. Payroll
and related human resource services is all they do. ADP has a large
staff that keeps on top of every issue an employer may have. They can
integrate and help manage employee benefits including health and
retirement.
